Hi all!

Just a quick clarification on this year's Themed Premieres Vid Show, Creation.

We want to take as broad a view of the theme as possible, so for example, both destruction and decay can be encompassed as part of the creation (and creative!) process. Hopefully this will make for an exciting range of vids! This means you can make a vid with a creation or creative theme, the ciiiiiiiiircle of life, decay, destruction, rebirth, and more we haven't thought of! We can't wait to see what you come up with, and really can't stress enough how much we encourage you to think outside the box, so long as you can link your idea back to the box somehow. (If you are worried whether an idea fits the brief, feel free to drop a member of the concom a line, or chat it over with fellow vidders.)

Vidder's choice is open for submissions for 2024! Submit your vid by the end of the day on April 1st, 2024.

VidUKon has grown a lot in the last few years, and since 2020, Vidders Choice -- a show where anyone registered for the con can submit one vid from their back catalogue -- has grown massively into our biggest show, from roughly an hour-long show prior to 2020 to 3-4 hours long. We adore this, but it does present a bit of a challenge for the in-person portion of the con, where the seats aren't quite as comfy as at home.

We're trying out a new approach this year. When you submit a vid to Vidder's Choice, you will now have the option to submit to either a fully virtual show on Thursday night (around 9 or 10 PM British Summer Time), or you can select the usual hybrid show which will be on Friday evening, likely around 7 PM UK time. You can also indicate no preference if either is fine with you. We can't promise that everyone's preference will be accomodated, but we will do our best! If there are more people who choose the hybrid show than we have time for, then we will prioritise in-person attendees and people who don't have vids showing in other shows in the con. We don't have strict time limits on the fully virtual show, so the reverse is unlikely to be true.

Additionally, please only submit vids under 4 minutes long.

When you submit your vid in Conline, you will indicate your preference using the "Priority" field:

1: No preference
2: Fully virtual Thursday night show
3: Hybrid Friday evening show

The priority field was designed for a different purpose, so please ignore the "1 is most important" text, and leave the "conditionals" box blank.

This post should contain the information you need to submit a vid to VidUKon. Please comment here or email concom if you have questions or run into issues.

1. Who submits vids? Registered attendees can submit one vid to each of Vidder's Choice, Premieres, and the Antagonism themed vidshow. If you have a vid premiering in one of the other vidshows, the VJ will submit the vid on your behalf. If you are a VJ for a curated vidshow (in other words, not one of the three vidshows listed above), then it's your responsibility to add all the vids to your vidshow. The workflow for VJs is similar to what's described below, but there are some differences which are explained at the end of this post.

2. There will be a field to enter warnings for your vid. Please warn for the following: Animal Harm; Auditory Triggers; Blackface/Brownface/Redface; Blood/Gore [significant amounts]; Depictions of Colonialism/Imperialism; Depictions of Police; Holocaust and/or Nazi Imagery; Fast cuts (more frequent than about 8 frames); Flashing/Flickering lights; Incest; Queerphobia; Racism; Physical Triggers [in addition to fast cuts or flashing lights], Self-harm; Sexual violence; Suicide; Transphobia. Please warn for depictions of things even if the vid is critical of them, e.g. a vid that is critical of racism and includes depictions of racist violence should warn for racism.

3. We encourage you to submit subtitles if you can and to have them included in your streaming video. The best way submit subtitles to us is to submit a separate .srt file, described below.

3. How to submit your vid!
  • First, add the video to Conline as follows:
    • Log into vidukon.conline.club and go to your dashboard.
    • Click on Registration.
    • Click on the "Submit Videos" tab.
    • For the vidshow you want to submit to, click on "Add video".
    • If your vid is already in Conline's database (IVDb) then you can find it by entering the title in the first field. If it isn't (which is likely) then you will need to add it to the database. This will also potentially involve adding the source and song to the database if they've never been used before. This can be a bit of a process if you're not used to it, and if you get stuck please contact concom. Once you've added the vid to the database, you can return to the "Add video" form.
    • Fill in the description and warnings.
    • Under "Priority", enter 1 for both "Priority" and "Conditionals".
    • Enter a youtube or vimeo streaming link, do not enter a link to an alternative streaming server. Please contact us if you cannot provide an unpassworded vimeo or youtube streaming link.
    • Upload your .srt file if you have it. This can be a bit fiddly but you have problems you can instead upload your subtitles file using the upload link described below.
    • Enter the duration.
    • Click save.
  • Now the metadata and streaming link are available in conline, but we still need a hard copy of the vid for the in-person con, and to have available in case there are issues with the streaming link. Here is the link to upload your vid. There are no restrictions on format, frame rate, aspect ratio etc, but please try to keep the file size below about 250 MB if possible. Please include in the file name the (1) vidder name, (2) vid title, (3) vidshow you're uploading for, (4) date of upload. You can also upload a subtitle file; if you do please give it the same name as the vid except the suffix.

4. For VJs: You will fill in the same metadata information about each vid, and you will need to use the mega upload to submit a hard copy of each vid just like an individual vidder would. However, rather than accessing the form via "Submit videos", there will be another tab on "Registration" called "Shows". Click on this, then click on your vidshow to add vids following a similar workflow to what is described above. Please contact us if you can't see the "Shows" tab, as we have to do a manual change in Conline for VJs to see that and we might have missed you or made the change before you registered.

With the con just three months away, we’re preparing for a weekend jam-packed with vids, panels, activities and socialising! The full schedule will be released closer to the con, but we can now share some news about what you can expect to find in it.

A major update - this year we’re trying something new with the group vidding workshop! The workshop is a big part of the VidUKon experience, but our new hybrid format presents some additional challenges compared to a fully offline or fully online workshop.

So this year, we’re taking the workshop back online, moving it to a pre-con challenge with a longer timeframe, and making some other changes that we hope will retain the chaotic spirit of the workshop while making both running it and participating in it a bit simpler. Watch this space for more detail soon.

And finally, we’ve chosen a theme for this year’s vidder-submitted themed show! The theme is Antagonism. Whether it’s nemeses, enemies to lovers, villains or feuds, we want your vids all about hostility, rivalry, contention and opposition.

More details coming soon on exactly how to submit. The deadline will be May 6. Premieres are particularly encouraged but back-catalogue vids are very welcome too.

Programming suggestions for VidUKon 2023 are now open! We will be accepting submissions until February 25th 2023.


Please submit your content suggestions, whether for shows, panels, or something else, in this handy dandy google form. Most fields are not mandatory, so if you only have a vid show idea but not a panel or vice versa, that’s fine. Multiple ideas, if you have them, are encouraged, but please be advised that in the (very likely) event of more programming than hours in the con weekend, we will probably only accept one programming item per person. (We do ask that if you have multiple ideas, please submit them individually, just to make our lives a bit easier.)


We’re looking for your ideas for vid shows and panels you’d like to run, and if you have an idea for something new that’s not quite either of those things, we’d love to hear that too.


As ever, we welcome programming ideas from first-time VJs and panellists as well as from veterans - if you’d like to give it a try but you’re not sure where to start, please get in touch! We’re happy to chat it through with you. You’re also very welcome to VJ as a pair or a group.


As the con has grown, so has the number of programming submissions. In the likely event that we have too many programme items to choose from, we will emphasise items that form a coherent and complementary programme, as well as trying to give new VJs and panellists a chance to shine. 


We will endeavour to let submitters know whether their item has been selected as soon as possible after the deadline, to allow plenty of time to prepare.


Premieres


As usual, we are seeking brand new, never-before-seen vids for our Saturday night Premieres show.


Anyone with a VidUKon 2023 membership, whether online or Cardiff, can submit a vid. Vids can be any fandom, theme, or style, and there is no minimum level of experience required.


The only requirement is that the vid be completely new, showing for the first time at the con. This means that once you submit it to us, you cannot release it online or show it at any other convention until after the Premieres show on Saturday night of the con. After that you can release the vid as usual. We also ask for one vid for Premieres per vidder.


The deadline for Premieres submissions is May 6th. More information on submitting your vid will be provided nearer the time.


Themed Submission Vidshow


Following the success of last year’s themed submission vidshow, Blorbo From My Show, we’re doing another one! Premieres are encouraged but vids from your back catalogue are welcome.


The theme for this year is yet to be chosen - the concom will be making a decision shortly, but in the meantime we welcome suggestions from the floor! Please comment on this post if you have an idea for a theme.


Vidders Choice


Vidders with a VIdUKon 2023 membership can also submit one of their back-catalogue vids for the Vidder’s Choice show, as in previous years. The deadline for Vidder’s Choice is May 1st, so start having a think about which of your vids you’d like to show off this year!

Accessibility is something we’re working to improve at VidUKon. One way we’d like to do that is by providing subtitles for as many of the vids streaming on Conline as possible at this year’s virtual con.

If you’ve submitted a vid to the con, or you have a vid in a curated show, please consider adding subtitles to your streaming version if you don’t already have them.

To get you started, here’s a helpful guide to making subtitles using a program called DivXLand Media Subtitler, which also contains advice on how to upload your subtitles to YouTube or Vimeo, the two streaming sites that are usable with Conline. YouTube also has an easy-to-use inbuilt subtitling tool that you may prefer! If you use something different for your own subtitles or have other tips and tricks to share, feel free to do so in the comments of this post.

Once you’ve created subtitles for your vid, consider downloading them (either directly from YouTube or using a site like DownSub) and adding them to your upload when you share your video file with concom, so that we can include them in the con DVD/ USB drive.

We’d also like to encourage you to provide details on potential physical triggers in your vid! Physical triggers must be warned for either way, but often it is helpful for people who are affected by them to have some details about what to expect, and where. If you struggle to determine what might count as a physical trigger, the following resources might help:

Please also remember that we require the following mandatory warnings for vidshows and vid submissions:

+ Contains graphic violence
+ Contains sexual violence
+ Contains physical triggers

You can add warnings and content notes to your vid as tags in the vid submission form. Feel free to create tags that are as long or short as you need them to be to convey all details you want to convey.

Are you premiering a vid at VidUKon 2022? Would you like to share this vid on AO3 after the premiere? Would you like to avoid the mad scramble of posting your vid quickly after the show when all you want is to chat with people about all the cool vids you just watched?

Introducing: the unrevealed AO3 VidUKon 2022 premieres collection!

And, ETA, also introducing the unrevealed AO3 VidUKon 2022 themed vidshow premieres collection -- follow the link or read below for more info.

As part of your premiere submission, we invite you to create a work on AO3 for your vid and post it to the collection. The collection is unrevealed, which means that your work will not be shown to anyone even if you post it – it will show as a “Mystery Work” similar to Festivids and Yuletide. After the premieres show, VidUKon concom will reveal this collection, meaning that your vid will then be visible to AO3 users without you needing to do anything to make that happen.

Posting to the collection is perfectly voluntary! You do not need to create an AO3 post, or add it to the collection, for your vid submission to be complete. It’s meant as a support for vidders to take advantage of or not at your own discretion.

If you do decide to post to the collection, please note the following:

  1. The collection is moderated. Depending on concom availability, it will take a while for your vid to get approved and properly added to the collection. The reason we’ve set it to being moderated is that we want to make sure that only VidUKon 2022 premieres end up in it. There are no other criteria the post or the vid need to fulfill to be approved.

  2. When you post, make very sure to add your vid to the collection before you hit “Post”! Otherwise the vid will be posted like a normal work and your subscribers will be notified, effectively premiering the vid prematurely. You can add the vid to the collection in the posting form, or by posting using the “Post to Collection” button on the collection’s main page.

  3. The collection will be revealed after the show in the con’s time zone, i.e. Cardiff. This means that the reveal might happen slightly before or during the show in another, later time zone.

  4. If you’re premiering a vid in the themed “Blorbo from My Show” vidshow, please watch this space to learn how we’re going to handle the reveal of those premieres. The decision depends on the schedule, which will not be finalized until after programming submissions have closed. (They’re still open, by the way, just in case you have ideas!)

    ETA: We now have a separate collection for all premieres showing in one of the themed vidshows -- this includes "Blorbo From My Show" as well as all other shows other than the Premieres show. The collection will be revealed after the con finishes on June 12 (Cardiff Time). You can add your themed vidshow premiere to the Themed Vidshow Premieres Collection here!

As some of you may have already spotted, we have opened up vid submissions! Here’s a quick how-to for vidders who want to submit to our various 2022 shows.

Registered Vidders

As a registered attendee (Cardiff or Conline), you can submit to Premieres, Vidder’s Choice, and the "Blorbo From My Show" themed vidshow. For more info on the shows please see the respective announcement posts. To submit your vid, please:

  1. Go to your dashboard and, in the "Submit Videos" tab, click to add your vid to the respective show. Fill in all required information and click "Save". Voila, your vid has been submitted to Conline!

    Note on IVDB: If your vid is not yet in Conline’s IVDB (Internet Vid Database), you’ll have to add it using the "add to database" link in the vid submission form. This will be the case for all premieres, as well as all non-premiere vids that haven’t had a chance yet to end up in this database.

    How to add vids to IVDB is fairly self-explanatory after you click on the link. Please try to use the suggested tags for all fields where they exist (Conline will suggest them to you as you type). If you need to create new tags, try to follow the IVDB tagging guidelines wherever possible. They are very long. There is no need to read the whole thing, just pick out the bit that’s relevant to the tag you want to create. If you’re having trouble, ping us on Discord or send us an email, we’re happy to help.

  2. Very important second step! After submitting through Conline, please upload a hardcopy of your vid on the Vid Upload page. The upload links will take you to a Mega site where you can drop your file in to upload. Please make sure to name your vid as specified on the Vid Upload page!

  3. Edited to add a completely optional third step for premieres: add your premiere to the AO3 premieres collection! (Follow the link for more info.)


Unregistered Vidders

Even if you aren’t planning to attend and haven’t registered to VidUKon, you can submit a premiere. To submit a premiere as an unregistered vidder, please do the following:

  1. Upload a hardcopy of your vid on the Vid Upload page to Premieres.
  2. Email vidukon@gmail.com with the following information:
    • the title of your vid
    • all vidders who contributed to making it (i.e. you and potential co-vidders)
    • all sources (movie/TV show/etc.) that you used
    • the audio including title and artist you used
    • an unpassworded streaming link to your vid (i.e. an unlisted YouTube link or similar)


As an unregistered vidder, you cannot submit to Vidder’s Choice or the themed vidshow. Edited to add: You can submit your vid to the AO3 premieres collection, if you wish to do so.

All vid submissions are final! Only submit a vid you are happy to show at the con as-is. There is no option to edit your submission after it’s gone through. If you do have to adjust something, please do so by emailing us at vidukon@gmail.com with your request.
