VidUKon schedule & Chaos Hour


VidUKon is taking place in one (1) month's time! If you'd like to whet your appetite, this year's schedule is available HERE. There have been a few timing changes since it was initially published, so double-check if there's any programming you particularly want to attend. You can click into each schedule item to see a description of that item, if you'd like to know more about what's in store.


Also, Chaos Hour is back, this time to break up the long dinnertime slot on Saturday night BST. Chaos Hour is a Zoom chat where attendees can bring their own programming. Take 5-10 minutes to tell us why all vidders should watch this one new (or old) show, talk about your favourite new effects trick, or anything else vid-related! You can contact concom ahead of time or just jump in during the chat – this is a very casual thing.


Group Vidding Workshop


If you're taking part in the Group Vidding Workshop, just a reminder the submission date is 4 May BST. If you don’t submit a fragment by the deadline, we’ll automatically assign a pinch-hitter in your place. Last year, there were a number of requests for extensions, but the timing this year is tighter, so any extensions will be for a couple of days at best.

Scholarship


VidUKon has a small pot built up, so a couple of fee waivers are possible for those who would like to attend the con but who are unable to afford the membership cost. Please get in touch with us at vidukon@gmail.com to find out more about our scholarship. (You do not need to disclose anything about your personal circumstances in order to qualify).


In-person attendance deadline


For those planning to join us in Bristol, registration for in-person attendance closes 4 May. Virtual registration will be open till very close to the start of the con.

If you signed up to take part in the VidUKon 2025 Group Vidding Workshop, you should now have an email with details of your assignment - and sources, if you requested some - as well as details on how to upload your finished segment and the deadlines.

The deadline for submitting vidded song fragment is end of day on the 4th of May BST. Submissions deadline

The deadline for submissions to Vidder's Choice, Premieres and the Themed Vidshow (GPOY) is today, 6 April. Vid submissions are possible for as long as you can see the "Submit" buttons on your dashboard. They will be removed manually at some point after midnight UK time (UTC +1).

 

We will be sending out one more account credentials batch for new registrations this evening UK time. If you want to submit a vid before submissions close but register after we send out the last batch, you will be able to, but likely not through the normal process. Please get in touch with us at vidukon@gmail.com should this be the case. 

 

Similarly, if you run into any issues while uploading vids today but don't hear back after contacting us, don't stress! We will make sure everyone who wants to submit a vid will be able to do so. Depending on volume, it may just take a little while to get back to you. A message via the Vidding server on Discord will probably get the fastest response from us but an email works too.

Also just a quick update regarding subtitles at this year's con: We likely won't have subtitle functionality ready in time, so if you want your vid to be subtitled we suggest uploading it with hard subs. Another option is to post subtitles to the Discord chat during the relevant show. Should we manage to get subtitles up and running before the con, vidders who uploaded hardsubbed vids will be able to replace them with clean files.

Submissions for VidUKon 2025 will open early next week \o/ If you've registered for this year's con, you should receive an email either on Tuesday or Wednesday (25 or 26 March) containing details about how to log in to the new platform. 


Before we get into how to submit a vid, just a quick note on which browsers to use to ensure you get the best out of your con experience. Our platform is new and we haven’t been able to thoroughly test it on a wide range of browsers, so we would recommend Firefox as your go-to.


Browsers that should also work: Chrome, Brave, Edge, Vivaldi

Browsers that may struggle (but may also be fine, try it out!): Safari, Opera, others not named here

Browsers that will struggle and that we don't recommend: Firefox mobile on Android


If stuff looks broken, before you let us know, please check if you have the latest browser version installed. Speaking from our own bug testing experience over the past few days, updating the browser will fix quite a lot of things!


Below are instructions on how to submit a vid (or three!) to VidUKon 2025. 


Eligibility


You must be registered for VidUKon in order to submit a vid. If you haven’t yet registered, you can do so at vidukon.org. Once you’ve registered, you will be emailed a temporary password to log in to your vidukon.org Dashboard, which is how you will submit your vid. This process is not automated, so don’t be alarmed if it takes some time to receive the email, though we will do it as quickly as possible.


There are three submission-based vidshows: Vidder’s Choice, Premieres, and the Themed Premieres show. You can submit up to one vid to each of these shows. As implied, submissions to the Premieres and Themed Premieres shows must be new vids that have never been posted publicly or shown at a con or similar event. Conversely, Vidder’s Choice vids cannot be premieres. Additionally, Vidder’s Choice submissions must be no longer than four minutes and thirty seconds in length.


Technical specifications


Please follow these if possible, as it makes it easier for us to set up the virtual vidshows. However, we do not want these specs to be a barrier to submission for anyone – if you’re having trouble, please contact us.


File format: MP4

Video codec: H264

Max video bitrate: 7-8 Mbps

Max resolution: 1080p 

Audio codec: AAC

Max audio bitrate: 256 kbps


If you don't know how to follow these guidelines: If your vid is roughly under 350 MB and definitely not 4K, go ahead and upload it. If it’s not 4K but well over 350 MB in size and you don’t know how to reduce the file size, please contact us.


Please do not upload 4K vids. Things would likely break, one of them being your vid upload! Even if things don't break, we don't support 4K on the platform, so your vid will be converted to 1080p and will likely end up with bleached colors, since that tends to happen with automated conversions from 4K to 1080p.


How to submit your vid


Once you get your password, you can log in to vidukon.org and change your password. Please note that for now, the name you enter in the vid submission form must match your username. If you chose a different username when you registered than the name you vid under, you can change it by clicking on “Profile”. We plan to change this in the future but don’t have the capacity to do so this year.


To submit, click on “Dashboard”. Your dashboard will display what vidshows you can upload to and also lets you manage existing submissions. Click on “Submit”. This takes you to the page to enter the vid details. If the source(s), both visual and audio, are not yet in our new database (which at this point is very likely), then you won’t be able to add them on this page, but you can do so later. 


In the description field, please enter a brief description of your vid. This doesn’t have to be comprehensive; for example a common approach is to choose a lyric from the vidsong that is particularly evocative of the vid, but it is also fine to write something like, “A Dylan G. character study” or “All the f/f ships in Xena”. Be as creative or straightforward as you like, but please keep this brief as every vid description has to fit in our printed conbook!


Please tick any of the mandatory content notes that apply to your vid. For custom content notes, you may provide additional detail about any of the mandatory notes as well as add any non-mandatory notes, e.g. warnings for spiders or snakes.


At this point you can hit submit even if you didn’t enter any sources or audio due to them not being in the database. From here, you can click “Enter Sources” (add new visual sources that aren’t yet in the database), “Enter Audio” (add new songs or other audio not yet in the database), and finally upload the vid file. For the sources, you can click “search metadata” to get search results from IMDB and similar, this will help you find the year of release, full title, etc. Adding sources and audio in these pages automatically adds them to your vid.


Finally, don’t forget to upload your vid! You can add new uploads, and edit all other details of the vid, up until the submission deadline.


The vid upload takes a moment. Let it do its thing and don't close the tab or browser. If it takes longer than ten minutes, it's probably failed and you can contact us about it. You won't irreparably damage anything by closing the tab while the spinner is going, but we may have to remove all the vid data and make you resubmit. We don't know yet how the site will behave with multiple people uploading at the same time, so please be patient with the site, especially if you're uploading close to the deadline.

Schedule update

We're really excited about this year's programming! The schedule will be revealed a bit closer to the con, but in the meantime we can share that the con will (officially) kick off around 3pm British Summer Time (UTC+1) Friday and end at 5pm BST latest on Sunday. Start/end times are otherwise 10am/10pm BST.

Like last year, we'll have pre-con scheduling Thursday night, with the all-virtual Vidder's Choice show starting around 8pm BST.

Sign-ups for the VidUKon vidding workshop are now open! In keeping with the last couple of years we've arranged for the vidding workshop to occur in the months prior to the con, to allow everyone a bit more time for creating their individual segments (and for the mods to deal with the new and surprising technical problems that are now a VidUKon tradition).

What Is The VidUKon Vidding Workshop?

VidUKon runs a yearly workshop where participants create a vid that is stitched together from many small segments. Each segment is taken on by an individual or a group of vidders, without knowledge of what the other segments look like or what sources they used. Then, after the mods have stitched together the resulting chaos, the so-called "Frankenvid" is premiered at the end of the con to be enjoyed by all. Sign-Ups

Every VidUKon participant can sign up for the vidding workshop until April 7th. Yes, that's the day after Premieres submissions closes, so that everyone working towards that deadline has a chance to sleep afterwards! Assignments will go out later that week.

By signing up, you are committing to creating one segment of the Frankenvid using at least 2 different sources. The length of the segments depends on the number of sign-ups, but is typically between 10-20 seconds.

When signing up to the workshop, you'll be asked to make a decision on the following points:

  1. Group signup vs. individual signup

  2. Preference for song segment

  3. Source selection

  4. Pinch hitting


Please note that to participate in the Vidding Workshop, you must have a registration for VidUKon 2025 - so if you want to join in, purchase your Virtual or Cardiff Attendee membership here: https://vidukon.org/ - please note that the final purchase happens through Ticket Tailor.

On Signing Up As A Group

While it's perfectly fine to sign up to the workshop and create your segment as an individual, we would like to encourage people to form groups in the spirit of allowing less experienced vidders (or even participants with no previous vidding experience!) to dip their toes into the vidding process and join in on the fun in a low-stakes setting. To that end, there are now two ways for people to participate as a group:

  1. You can organize your own group ahead of time, then choose one representative to fill in the sign-up form for the whole group.

  2. You can sign up individually, but indicate that you want to be assigned to a group. We will do our best to group people together who live in similar timezones, to make collaboration between the group members easier. The mods can also help establish contact between the group members in case there are any difficulties.


In both cases, please be aware that we will not organize spaces for the groups to communicate with each other. You will have to decide amongst yourselves how to work together to create your segment, whether that be a 3-hour screen-sharing session on Discord, or a project file being emailed back and forth over the course of several weeks, or something else completely. It's up to you!

Song Choice

The song for the Frankenvid is chosen by the mods, and will not be revealed before assignments are sent out. (Part of the reason for that is that the song choice depends on the number of participants, but of course it's also meant to add to the challenge and general chaos of the process ;)

While you can't choose your segment, the sign-up form has an option to indicate whether you prefer a segment with or without lyrics. We will do our best to take everyone's preference into account when assigning the segments.

Source Selection

When signing up, you'll be asked to specify the sources you will use for your segment. This is to ensure that we won't have excessive overlap between the segments. If other individuals/groups have already picked the same source, you may be asked by the mods to pick something else, or to pick a specific season etc.

The number of sources you use is up to you, but it should be at least 2 different ones. Any visual source is fine to use, so please feel free to think outside the box! If you want to change your sources at any point during the process, please let the mods know right away, and we can figure something out.

Alternatively, for those who want a particular challenge or a particularly chaotic time you can select to be assigned sources by the mods. When doing so, you can indicate a "difficulty level" of sources you want to be assigned. The higher the difficulty, the more unusual the source you'll receive; past random assignments have included Lego stop-motion vids, adverts, and 1930s sci-fi tv shows.

Rendering Guidelines

The final render of the Frankenvid will use the following technical format: mp4, H264, widescreen (1920:1080 aspect ratio), 23.976 fps

We are aware that wrangling a bunch of different visual sources into this format can be a technical challenge. In order to avoid us mangling your vision, please do already submit your segment in widescreen aspect ratio. Whether you want to crop your vid or letterbox it to fit that aspect ratio is up to you.

For selecting the framerate, please follow these guidelines:

  • If all your sources have the same framerate, please render your segment at that native framerate (e.g. if you use two British tv shows at 25fps, please render at 25fps)
    If your sources have different framerates, please render your segment at the highest framerate of those sources (e.g. if you have one movie source with 23.976fps, and one youtube video with 60fps, render at 60fps)

  • The technical reason for this, if you are interested, is that I will likely have to change the framerate of your segment anyways, and having the most possible frames available makes it easier for me to fix any mistakes (i.e. double frames) that might occur in the conversion.


For those of you who are very comfortable handling different framerates, you may also render your segment down to the final 23.976fps yourself, but in that case I would ask that you please check to make sure you did not create any repeated frames in the process.

Please check with the mods early if you are planning to use a source that has a lower framerate than 23.976 (i.e. stop motion).

If you have any trouble with rendering your segment, please contact us directly via vidukon@gmail.com so we can figure it out together.

On Content And Visual Effects

We want the Vidding Workshop to be a fun and rewarding experience for all participants. To that end, please use your best judgment on what kind of content and visual effects to use, and avoid any obviously triggering content (e.g. police brutality) or heavy visual effects like strobing, stutter cuts etc. which might cause adverse physical reactions. While the Frankenvid will have a list of content warnings like any other vid shown at VidUKon, we also want to do our best to make sure that all participants are able to watch the finished product without discomfort.

If you have any questions about this or additional accessibility concerns, please contact the mods as early as possible. We are happy to make accommodations.

Submission Deadline And Pinch Hits

When assignments go out, you will be provided with a link where you can upload your finished segment. The submission deadline is May 4th. Please be aware that any segments that haven't been uploaded by May 4th end of day will be considered a default and sent out as pinch hits immediately. If life gets in the way and you can't finish your segment in time, please get in contact with us as early as possible.

When submitting, you are also required to provide a text file containing the following information: Sources used, Vidders, Content warnings. For the content warnings, the same rules apply as when submitting a vid to any other VidUKon vidshow.

During sign-up, you can choose to be put on the pinch hitter list. Pinch hitters will not be required to use the same sources as the original assignment.

VidUKon 2025 is just four months away! Here are the essential things to know so far about this year's convention:

First of all, it takes place 30 May to 1 June, both in Bristol and online. Friday programming will begin – online and in person – in the afternoon as usual.

If you’d like to attend, you can learn more about registration here. The deadline to register for in-person attendance is 4 May.

If you’re joining us in person you will probably also want to know about hotel room bookings and finding a roommate. Make sure to check out our Covid-19 policy before planning your trip.

Of course, a con needs programming! If you’d like to suggest a vidshow, panel or any other sort of content, you can find more information here – the deadline for that is coming up fast on 14 February.

Vid submission deadlines
We will have our three usual vidshows that VidUKon attendees can submit a vid to. You can submit up to one vid to each of these shows. The shows are Vidder’s Choice (a vid from your back catalogue), Premieres (a never-before-shown vid), and a show of vids fitting a specific theme. This year, the themed vidshow – GPOY (Gratuitous Picture of Yourself) – will again be premieres-only. The deadline for all vidshows is 6 April. Please note that vid submissions are not yet open, we will post when they are.

For folks attending the convention in person, this year's con hotel is the Future Inn Bristol (same brand, different location!). The hotel is offering 10% off whatever the day rate is (no block booking this year). Breakfast is not included in the rates listed below but can be added at the time of booking.

To book a room, contact the hotel's reservations team. You can do this by calling 0117 304 1010 and following the menu options to be put through to room reservations, or by emailing the team at reservations.bristol@futureinns.co.uk. You will need to mention that you are attending VidUKon to qualify for the 10% discount. You can also try booking through a third-party site like expedia.co.uk (no agreed-upon discount, but they might have special rates).

Room rates are the same for one or two occupants. Four occupants in one room (two Canadian queen-sized beds) works out significantly cheaper. Room rates are subject to change, but current rates for reference:

Friday 30 May - £95 single/two occupants or £168 four occupants
Saturday 31 May - £175 single/two occupants or £248 four occupants
Sunday 1 June - £80 single/two occupants or £154 four occupants

All rooms are wheelchair accessible (some on the ground floor, others accessible via lift). Conference rooms are on the 6th floor.

If you’ve attended in the past, you might have noticed that virtual attendance (website and Discord) costs about the same as last year while in-person attendance is significantly less expensive. This is because we will not have catering at the in-person con in 2025 as our new location in Bristol is near a lot of food options.

Sponsorship tier

You may have spotted there's a new tier to sponsor an additional attendee. The purpose of this tier is twofold: contributing to our scholarship fund or sponsoring a friend.


VidUKon has a small pot built up, so a couple of fee waivers are possible for those who would like to attend the con but who are unable to afford the membership cost. If you'd like to contribute to this fund, you can do so through this tier. If you'd like to attend the con but are unable to afford the membership cost, please get in touch with us at vidukon@gmail.com to find out more about this. (You do not need to disclose anything about your personal circumstances in order to qualify).


Equally, if folks would like to pay registration for friends, they can do so using this tier. Just flag it to the con email so that we can double-check details and register the extra attendees.


Electronic travel authorisation

Lastly, please be aware that attendees travelling into the UK (who are not British or Irish citizens) will need to apply for electronic travel authorisation beforehand. This is a new requirement and applies to travellers who likely did not need any prior authorisation to enter the UK before 2025. If you needed a visa for previous visits, you likely still do.

The 2025 themed premieres vidshow theme is GPOY (Gratuitous Picture of Yourself)! As always we are open to a wide variety of interpretations, which could include:
  • A vid that is characteristic of you/ in your wheelhouse thematically, character-wise, stylistically, in song choice, etc.
  • A vid dealing with something significant to you, even if it's something you haven't vidded before: your favourite childhood movie, a trope you love, a topic that is important to you, etc.
  • A vid made from your existing vids (please do not simply put an existing vid of yours to new music -- there must be new editing involved).

If you have a very different interpretation please feel free to contact us and check if it fits the brief. You can reply to this message or email us at vidukon@gmail.com.

The vid must be a premiere and will be shown in a dedicated vidshow at VidUKon. Only one vid per vidder is allowed, as with Premieres and Vidder's Choice. The submission deadline for this show -- as with the Premieres and Vidder's Choice shows -- is Sunday April 6 at 23:59 British Summer Time (UTC+1).

Programming suggestions for VidUKon 2025 are now open! We will be accepting submissions until February 14 2025 (the end of the day everywhere).

Please submit your content suggestions, whether for shows, panels, or something else, in this google form. Most fields are not mandatory, so if you only have a vid show idea but not a panel or vice versa, that’s fine. Multiple ideas, if you have them, are encouraged, but please submit them separately, just to make our lives a bit easier.

If you have an idea for something new that’s not quite a vidshow or panel, we’d love to hear that too.

As ever, we welcome programming ideas from first-time VJs and panellists as well as from veterans - if you’d like to give it a try but you’re not sure where to start, please get in touch! We’re happy to chat it through with you. You’re also very welcome to VJ as a pair or a group.

As the con has grown, so has the number of programming submissions. In the likely event that we have too many programme items to choose from, we will emphasise items that form a coherent and complementary programme, as well as trying to give new VJs and panellists a chance to shine.

We will endeavour to let submitters know whether their item has been selected as soon as possible after the deadline, to allow plenty of time to prepare.

VidUKon 2025 is taking place in Bristol from Friday 30 May to Sunday 1 June. Before we share more about registration and put out the call for programming, we thought we'd share FAQ about the con as well as our COVID-19 policy. Expect to hear more from us in the coming weeks!
 
About the con )
 
VidUKon is a fan-run vidding convention based both physically in Bristol, UK, and virtually. It's a weekend for vid watchers and vidders to gather together, in person and online, and watch vids, talk about vids, and have fun.
 
The physical portion of the con takes place in the Future Inn hotel, Bristol, where we have one large room with a balcony set aside for watching vids together and other activities.
 
The online portion of the con is based on the VidUKon website, and also uses a Discord server so that attendees can talk to each other, and video conferencing software for things like panels and workshops.
 
What is vidding, and what is a vid?
 
A vid is a fan-made music video that takes visuals from one source and audio from another and puts them together in a new way. You might also see them called fanvids, edits, tributes, fancams, MVs, etc. Vidding is the art of making these videos.
 
Do I need to have made vids to attend the convention?
 
Not at all! Most of the programming is accessible to anyone who enjoys watching vids. The most common programme items are vidshows - that is, curated playlists of vids. Depending on the year, there may also be panels or roundtables that explore vids from a viewer's perspective.
 
The occasional programme item might be more technical and geared to vidders in particular, but non-vidders are welcome to attend and listen in if they're curious, or spend those timeslots relaxing elsewhere.
 
There are also lots of opportunities to socialise with other fans between programme items.
 
Be warned though, plenty of people come to the con as non-vidders and come back next year having made their first vid! VidUKon is a great way to learn more about vidding in a low-pressure way, if it's something you think you might be interested to try.
 
What happens at VidUKon?
 
A ton of things! The con begins on Friday afternoon. We usually break the ice with a quiz, followed by a couple of vidshows. For the rest of the weekend, programming is a mix of vidshows, discussion, talks, workshops and social time.
 
There’s only one stream of programming, so attendees can attend every programme item if they choose to (and if they have the stamina!).
 
What are vidshows like?
 
Each vidshow is a playlist (usually about 45-60 minutes long) of vids on a particular theme. If you're in Bristol, you can watch the vidshow together with the other Bristol Attendees in the designated space at the hotel (usually a cinema-style set-up with a big projector). All registered attendees (Bristol or Virtual) can also watch each vidshow through the website.
 
What vids are shown?
 
All fannish vids are fair game – in all genres and styles. Which means that some panels and shows may not be suitable for people under 18.  
 
We prefer to have the vidders' permission to show vids, but the transitory nature of the internet means that can be difficult sometimes. If we are contacted by a vidder and asked not to show a vid, we will not show it.  
 
Registration )
 
Your display name is the name that you will be known by at the con. You can amend this in your account details after you register if needed, but once that's done you should use the same name in all virtual con spaces, including on the website and the con Discord server.

Vid shows and uploading vids )
 
A premiere is a vid that hasn't been shown in any previous convention or event and has not been released online prior the con. It will be shown for the first time ever at the Premieres show on Saturday night at the con, and will also be included on the Premieres physical media that some attendees receive after the con. Anyone is welcome to submit a premiere as long as you are registered as either a Virtual or a Bristol attendee. Vids can be any fandom, theme, or style, and there is no minimum level of experience required.
 
What is Vidder's Choice?
 
Vidder's Choice is a show where con attendees can choose an existing vid from their back catalogue to be shown. This can be absolutely any vid as long as it won't be showing for the first time at VidUKon. You might want to submit a crowd-pleasing favourite, or highlight a deep cut that you wish got more love!
 
What is the themed submission vidshow?
 
The themed submission vidshow is a show with a specific theme that changes each year, for which con attendees can submit a premiere or a vid from their back catalogue. The theme for 2025 has not been decided yet and will be announced in due time.
 
What is the deadline to submit a vid?
 
All deadlines for VidUKon 2025 are on 6 April. This includes Premieres; Vidder's Choice; the themed vidshow (GPOY – Gratuitous Picture of Yourself); premieres that will be shown in curated vidshows (i.e. not Premieres, Vidders Choice, or the themed vidshow).
 
Should I inform you about the premiere I'm doing?
 
No, you don't have to. We might poll about it just to get a rough idea of how many vids we'll have and to check if we can fill them all in, but you don't have to inform us, just submit your vid on time for it to be included in the show.
 
If I'm submitting a vid, how do I get it to you and what format should it be in?
 
Video submissions are not open yet. We will share more information on the submission process closer to the date. Please get in touch if you ever have any questions.
 
Convention )
 
We offer full refunds until the close of registration of your tier (please note that some tiers close earlier than others). After that date, all refunds are discretionary. We do not want to be jerks about this, so please do contact us, and we may be able to assist, however, after the close of registration, our financial commitments are firm and we have bills to pay. As a non-profit voluntary association with very little surplus cash, we may not have the luxury of refunding tickets at that late stage.  
 
What is your Accessibility Policy?
 
Vidukon is committed to making the con environment an accessible and enjoyable place for all attendees. If you have specific access needs that you'd like to discuss with us, please contact us at vidukon@gmail.com, and we'll do our best to help.
 
For in-person attendees, the con rooms are on the top floor, accessible by lift or by stairs. Hotel rooms on higher floors are also accessible by lift or by stairs.
 
The con programme has regular breaks scheduled into the main programming.
 
We are going to be asking VJs, panelists, and vidders submitting premieres to include content information about their vids. We ask to warn for the following:
 
Animal Harm; Auditory Triggers; Blackface/Brownface/Redface; Blood/Gore [significant amounts]; Depictions of Colonialism/Imperialism; Depictions of Police; Holocaust and/or Nazi Imagery; Fast cuts (more frequent than about 8 frames); Flashing/Flickering lights; Incest; Queerphobia; Racism; Physical Triggers [in addition to fast cuts or flashing lights], Self-harm; Sexual violence; Suicide; Transphobia.
 
We ask to warn for depictions of things even if the vid is critical of them, e.g. a vid that is critical of racism and includes depictions of racist violence will be expected to warn for racism.
 
If any attendee would like further detail about the content of vids being shown at the con (eg you have a specific trigger that is not included in that standardised list), please get in touch with the ConCom and we'll do our best to help. Anonymous queries welcome. The more notice we have the more thorough we can be in getting content information for you, so ideally email us at least a couple of weeks before the con, but if we get less notice than that we'll do our best to accommodate you. 
 
The content information we collate will be available in the Conbook and on the website for ease of reference of attendees.
 
COVID-19 guidelines )
 
In-person VidUKon will require all in-person attendees to be fully vaccinated against COVID-19 without exception. Proof of vaccination will be required upon arrival. To avoid disappointment, please make very sure to bring your vaccination documents with you to Bristol! We accept photographed documents, so a picture on your phone will suffice. For more information on accepted forms of proof, see below.
 
Note for regular in-person attendees: please bring your vaccination documents even if you provided them at the 2023 or 2024 event. We're a small crowd and we do remember you, but in the name of fairness, transparency, and security, we ask all in-person attendees to provide vaccination proof regardless of previous attendance record. If this creates any difficulties for you, please don't hesitate to get in touch at vidukon@gmail.com.
 
Which vaccines are acceptable?
 
Any vaccine authorized in the country in which the vaccine was received, including authorization for emergency use, for human use as a COVID vaccine is acceptable. The World Health Organization maintains information on the status of vaccine trials and approvals.
 
I was a participant in a vaccine trial; is this acceptable?
 
Please contact us directly at vidukon@gmail.com so we can evaluate your situation on a case-by-case basis.
 
What does “fully vaccinated” mean?
 
“Fully vaccinated” means you must have received all required COVID-19 vaccination doses no later than 14 days prior to the day you arrive at VidUKon to allow them to reach full efficacy before arrival. For people arriving on 30 May that would be no later than 16 May. The date of vaccination will be confirmed as part of the registration check. Boosters are not required, but strongly encouraged if you're eligible.
 
What forms of proof of vaccination are accepted?
 
We will accept original vaccination cards, digital or physical photographs or photocopies of vaccination cards (front and back, all details readable), or electronic documentation provided by your country of origin, including print-outs of such documentation. This documentation should be provided in person at the registration desk on site. It needs to contain information about the date of vaccination and the type of vaccine, and needs to be identifiable as belonging to you (i.e. be in your name).

What if the name on my ID and the name on my vaccination card don’t match?
 
We will accommodate this on a case-by-case basis; please contact us at vidukon@gmail.com.
 
I can’t be vaccinated for a medical reason. What should I do?
 
At this time, VidUKon requires all in-person members to be vaccinated without exception. If you cannot be vaccinated, please consider attending virtually, which does not require you to be vaccinated or show proof of vaccination.
 
I'm vaccinated, but my child/friend/partner/family member that I'm bringing along isn't. What should I do?
 
If you are planning to bring along friends or family to enter con spaces, please make sure to provide proof of vaccination for all people present, including children. Children who are too young to be vaccinated against COVID-19 will unfortunately not be allowed to enter con spaces at the 2025 event. They may enter the hotel lobby or other spaces in the Future Inn that are not con spaces, though.
 
Testing
 
If you attend VidUKon in person, you are required to test yourself once a day before you enter con spaces, using a rapid test. VidUKon 2025 encourages in-person attendees to bring their own rapid tests if possible. The con will also provide rapid tests on site.
 
Please also test before beginning your journey to Bristol. If PCR tests are easy and affordable to come by where you live, we encourage you to get a PCR test done before you travel. If you cannot easily get a PCR test, a rapid test will suffice.

Can I get rapid tests for free?
 
Not anymore :(
 
Do I need to provide proof of my daily rapid test result?
 
No, we may give reminders about testing but we will be trusting everyone to test appropriately over the weekend.
 
What do I do if my rapid test result is positive?
 
If your rapid test shows a positive result, you will unfortunately be unable to continue participating in VidUKon 2025 in person. You are encouraged to switch to virtual participation. Possibility of refunds in a case like this will be determined on a case-by-case basis.
 
What should I do if I'm having symptoms?
 
If you experience symptoms that might be a sign of a COVID-19 infection, please test yourself using a rapid test. If the test result is positive, you will unfortunately be unable to continue participating in VidUKon 2025 in person (see above). If the test result is negative, please use your best judgment to decide whether or not to continue participating in person, keeping in mind that depending on viral load, rapid tests may not be 100% accurate. You always have the option to switch to virtual participation, and also switch back whenever you feel safe participating in person again. Possibility of refunds will be determined on a case-by-case basis.
 
Do I need a PCR test to attend the con in person?
 
No, a rapid test is sufficient. However, if you can easily get a PCR test done, we encourage you to take one before you travel to Cardiff.
 
Masks
 
VidUKon 2025 continues to require all in-person attendees to be wearing a mask in con spaces at all times, except while actively eating or drinking.
 
What counts as a mask?
 
A mask should completely cover your nose and mouth with material that can effectively filter droplets and aerosolized particles. It should fit snugly against the sides of your face without gaps. Nose wires are recommended to improve fit, and multiple layers are generally more effective. Face shields are not an acceptable alternative to masks, although they can be worn in addition to masks if you desire.
 
I can’t wear a mask for a medical reason. What should I do?
 
We generally accommodate medical exemptions to masks but would like to evaluate on a case-by-case basis, so please contact us at vidukon@gmail.com
 
What counts as a con space?
 
A con space is any area reserved for con attendees, such as the conference rooms reserved for VidUKon. The hotel lobby is not a con space, neither is the hotel restaurant.
 
What are the rules in spaces that are not con spaces?
 
There are no specific masking rules in place anymore in spaces that are not con spaces. We encourage you to use your best judgment regarding masking in those spaces.
 
Are there going to be designated areas for eating and drinking or is it allowed anywhere?
 
At this time, VidUKon is not planning to set up designated areas for eating and drinking. We ask attendees to try to keep their masks on at all times and be courteous and considerate regarding the exception for eating and drinking.
 
Local Regulations and Travel
 
The above-described guidelines reflect the level of safety VidUKon will aim to provide for in-person attendees. Select guidelines may change or additional ones may be added as the con approaches. In the unlikely case of significant changes, you will hear about them in the regular pre-con communications we send out.
 
If you are attending the con from abroad, please make sure to check all applicable regulations for your travel route.

Next year, the in-person con will be held in Bristol rather than Cardiff! This is because Future Inns Cardiff only had availability in mid/late August, and we wanted to have the con earlier in the year as usual. We chose Future Inns Bristol because it suits our needs and is centrally located, with loads of food options right across the street in Cabot Circus -- no more treks for food, no need to cater in lunch due to distance!

The dates for the con are Friday 30 May - Sunday 1 June 2025.

This is not a permanent move -- we will make the final decision for 2026 after next year's con.
