 Preparations for this year’s con are ramping up! If you want to attend or support this year’s convention, contribute programming or a vid, or you just like to know what’s what, here are the most important dates for your diary:
 
  • This year’s convention runs from the afternoon of Friday 14 June to the afternoon of Sunday 16 June, 2019. Friday afternoon programming will be low-key, with things kicking into gear in the evening. Saturday programming begins in the morning and runs throughout the day until the Premieres show in the evening. Sunday programming begins in the morning and runs until the afternoon, with things likely to wrap up sometime between 3 and 5pm. For anyone who wishes to stay an extra night, there are usually con attendees still around to hang out with after this, although there is no more formal programming.
  • If you are planning to attend the convention, you need to register by Sunday, 12 May. If you would like to buy a supporting membership, you can do this until Friday, 31 May, but if you’d like to submit a vid for Vidder’s Choice (see below for more info), you’ll need to have purchased your membership in order to do that. Attending memberships rise in price from £44.99 to £54.99 on Saturday, April 13.
  • The deadline to submit premieres is Monday, 13 May. A premiere is a brand new, never-before-seen vid which has not yet been released online and which has its first public viewing during the Premieres show on the Saturday night of the convention. Anyone can make a premiere - you don’t need to be attending or supporting the con - but in the unlikely circumstance that there are too many vids to show, priority will be given to attending and supporting members. Premiere vids can be any genre, style and fandom, and there is no minimum required experience level to submit a premiere. More information on how to post your premiere will be available shortly, but don’t worry about that for now - as long as you’ve made a vid, we’ll help you get it show-ready.
  • The deadline to submit a vid to Vidder’s Choice is also Monday, 13 May. Vidder’s Choice is a showcase of back catalogue vids. If you are an attending or supporting member of the convention, you can choose any one of your existing vids to feature in the show. It’s an opportunity to highlight a hidden gem, celebrate an old favourite, or maybe even drag a few new people into an obscure fandom! More information on how to submit your Vidder’s Choice vid will be available shortly.
  • We are still looking for programming ideas! Vidshow and panel submissions are open until Monday, March 4. They can be submitted via the website. If you have an idea but you’d like to discuss it in more detail before submitting, or if you have any questions, leave a comment on this post, or get in touch with the concom via Twitter or email. If you’re creating a vidshow (VJing), you will need to have the playlist finalised by Tuesday, April 30. You will then be asked to upload the vid files sometime in May. If you’ve never done a vidshow or panel before but you’d like to give it a go, don’t worry - we will support you through the process!
  • Scholarship nominations are open until Sunday, March 31. The scholarship offers support to one individual who has not been to the con in the past and would like to attend. Self-nominations are welcome and encouraged, and you are also extremely welcome to apply if you have been nominated in the past and missed out and have still never attended the con. Priority is given to Non-UK European applicants, but UK and international vidders and vid fans are also welcome to apply! Take a look HERE for more details, or to make a donation to the scholarship fund.
  • Rooms at the Future Inn in the VidUKon block at the special con rate will be held until Sunday, April 14. Book early if you can - Elton John is performing in Cardiff on the Saturday night so it may be difficult to find rooms elsewhere.

Bidding is now open for six fantastic vidders in our annual auction! You can bid until 8pm (UK time) on Saturday 26 January, and the auction is raising money for quiz prizes and extra food and refreshments for the con. If the target is reached, 50% of any additional funds raised will be donated to RAINN.
 
Winning an auction means that the vidder you've chosen will work with you to make one vid that you request. Check out the bidding page for more details, but in summary:
 
Bid on AurumCalendula for female-character-centric and femslash fanvids, in fandoms like Killing Eve, Star Trek and Tipping the Velvet.
 
Bid on jagwriter78 for a broad range of topics, including a ton of movies, The Walking Dead, and Legends of Tomorrow.
 
Bid on killabeez if you have a song in mind that you're desperate to see vidded, in fandoms including The Magicians, Almost Human and any femslashy or slashy movie.
 
Bid on Larissa Bernstein for humorous vids or literally anything else for Star Trek TOS and Reboot, Hannibal, or classical Hollywood cinema.
 
Bid on LithiumDoll whether you have a vague plan or a more concrete idea, in fandoms like Farscape, Titans or Travelers.
 
Bid on Llin for feelingsy vids in fandoms like Star Trek, One Day at a Time or Anne With an E.

This year’s con is getting closer! With that in mind, here are a few things worth knowing:

The con will run from the afternoon of Friday 14 June to the afternoon of Sunday 16 June, 2019.
 
Vidshow and panel submissions are now open, until Monday March 4 2019! Check THIS POST for more details on how to submit an idea.
 
We are also seeking brand new, never-before-seen vids for our flagship Premieres show! Vids can be in any genre, style or fandom. You don't have to be attending or supporting VidUKon to submit a premiere. More information will be available soon, but the deadline for premiering vids will likely be sometime in May.
 
Some rooms have been set aside in the Future Inn Cardiff Bay for VidUKon attendees, at a special con rate. These can be reserved by getting in touch with the hotel by phone or email, and mentioning that you are attending the con and would like one of the VidUKon reserved rooms. These rooms will be held for us until Sunday April 14 2019, so make sure you book before then!
 
Nominations are open for our scholarship! The scholarship offers support to one individual who has not been to the con in the past and would like to attend. Priority is given to Non-UK European applicants, but UK and international vidders and vid fans are also welcome to apply! Nominations will close on Sunday 31 March 2019. Take a look HERE for more details, or to make a donation to the scholarship fund.
 
The VidUKon auction is running again! Kind and awesome vidders can offer their vidding services to be bid on to raise money to contribute to the running of the con. Signups for vidders are running until Saturday 19 January 2019, and bidding will take place between Sunday 20 January 2019 and Saturday 26 January 2019. Sign up or keep an eye on the bidding HERE.

Yes, this is the place for you to bash out, brainstorm, collaborate, run away with, wow us all and fling suggestions for VidUKon 2019 panels and vidshows!

We always get more vidshows than panel ideas, so don’t forget to give those panels some love and as usual, we’re open to combos, new formats, workshops… whatever ideas you have, bring them here!

Veteran VJs are welcome and so are first-timers - if you'd like to put a vidshow together but don't know where to start, get in touch and we'll be happy to help. Priority will be given to attending members, but supporting members can put together vidshows for us as well.

Vidshow and panel submissions will remain open until March 4 2019.

We'll have all the usual delights:

 VidUKon is fast approaching!

Attending and Supporting members of the con can submit any one back catalogue vid to Vidder’s Choice. Anyone at all can submit a brand-new, never-before-seen vid to the Premieres show. You can upload your vid for either show on the site now:

 The deadline for both Premieres (brand-new, never-before-seen vids from any interested vidders, in any genre, style or fandom) and Vidder’s Choice (back-catalogue vids by Attending and Supporting members of VidUKon 2018) is May 14.

If you have your vid for either show ready to go, here’s what you need to do with it!

(I know this post is a little long but I promise it’s pretty easy. Do give us a shout if you get stuck though! We’d much rather take the time to give someone a little advice than miss out on showing great vids!)

How to upload your vids

1) First of all, you need to have an account on the VidUKon site.

Just click Create Account on the homepage, fill in the relevant details and log in. (At this stage, if you want to submit to Vidder’s Choice and you haven’t yet registered for Attending or Supporting Membership, you’ll want to head over to Registration in the menu at the left of the page and do that first.)

2) Once you have an account, go to Upload in the menu on the left. Select the show you’d like to upload a vid to. (You’ll need to click Next at the bottom right of the page to get through each stage.)

On the Video Details page, fill in the title of your vid, a description/summary, the source(s) you made it from (ie, the TV show/movie/comic/whatever), and its duration. On the next screen, fill in the music title and artist. Then, on the next screen, your name (as you’d like to be credited) and email address (as well as your website and/or blog if you’d like.) Tick the box for any applicable warnings, and fill in additional info for anything under Other.

3) Next you’ll see a page which asks you to choose how to upload - browser, FTP, or link to files. My personal recommendation is FTP. It takes a few minutes to set up but over the years I’ve found it the best and most straightforward, plus it’s the easiest way to see when your file has successfully made it over to us.

If you’d like to try that option, click Upload via FTP, then download and install Filezilla:

It doesn’t take long! Once it’s installed, open it. You’ll see some boxes to fill in across the top. In Host put “ftp.vidukon.co.uk”, and in Username put “anonymous”, then click QuickConnect. Some stuff will scroll by. Don’t worry about any error messages you see.

Now you’re ready to send over your vid. If you’re uploading for Vidder’s Choice, you can upload as mov, avi, mp4, m2v, mpg or divx. For Premieres it’s a little more complicated, see further down this post for instructions!

When you have the vid you want to upload in the right format, make sure the filename is identical to the filename supplied on the Upload via FTP page - it’ll look something like “vidderschoice_test_test”. This helps us organise things behind the scenes. In the Local Site menu on the left of Filezilla, find your vid and double-click it, or right click and select Upload.

You’ll see the upload’s progress bar at the bottom of the screen. Once the file has moved, it’ll show up under Successful Transfers in the tab at the bottom of the page.

4) Once you see that, check the box on the Upload via FTP page that says “I confirm that I have FTPed my video file(s) with the name [filename]”. You can then move on and choose whether you’d like your vid to be in the virtual con - if you do, fill in your embed code from YouTube/Vimeo/wherever and a link to the vid (on YouTube or AO3 or Tumblr or Dreamwidth or whatever). If your vid is passworded, add that in.

5) Then just click through and hit Save if you’re happy with everything! The website should thank you for submitting your vid.

If you’re not sure whether your vid arrived safely, please check with us, via Twitter or email. We’d hate to miss out on your vid because it didn’t get uploaded correctly and nobody knew about it!
 

How to get your vid in the right format for Premieres

For Premieres, vids need to be in this format:

MPEG-2 (.m2v) and the audio encoded as a separate wave (.wav) 48 kHz 720x480 resolution NTSC format, 29.97 framerate 5500-6500 kpbs bitrate (NOT higher) 4:3 (if vid isn't 4:3, it has to be letter boxed to show in 4:3 fine)

If you get stuck on any of this, please let us know, we want your vid! But here’s the easiest way to do it. (Bear in mind that I’m on Windows and don’t know how this works on Mac!)

1) Download a great little program called Llamaenc2 HERE. (With thanks to AbsoluteDestiny for creating it!). Install it, open it.

2) Click on Choose Vid, find the vid you want to convert. Choose the top option in each dropdown in Settings.

3) Take a look at the preview on the right to see if it looks ok and not squashed or anything. (You can scroll using the blue slider to look at different shots.) IF it looks good, you’re in luck! You probably don’t need to change anything. Choose a file name and output directory, then click Convert.

Once the conversion is finished, watch the resulting vid through to check it looks ok. (The video and audio will be separate files. If you struggle to find a way to open them concurrently, I know Windows Media Player Classic will play them together automatically if they’re in the same folder.) If it looks good, go ahead and upload both video and audio according to the instructions above!

If any of the above causes problems, for example if the vid looks squashed (the most likely issue), tinker with the Aspect Ratio setting and the Crop and Resize radio buttons until it doesn’t look squashed, then try converting. And again, give us a shout if you get stuck or you're not sure!

The con is fast approaching!

If you’re planning to attend but haven’t purchased your membership yet, prices rise from £39.99 to £49.99 on April 13 - that is, this Friday! Get your ticket before Friday if you want to pay the lower price.

If you haven’t yet booked your hotel room, now’s the time to do it. Rooms at the special con rate are available until April 15 - this Sunday. Book your rooms before then if you want the con rate. (Actual payment is usually at the con itself.)

If you’re working on a premiere vid, you have until May 14. That’s also the deadline for uploading your Vidder’s Choice vid, so if you’re a vidder attending or supporting the con, have a think about which of your back-catalogue vids you’d like to showcase.

Concom, VJs, panellists and vidders are all working away behind the scenes to create this year’s convention - the tenth anniversary of VidUKon’s first year! A full schedule will be released a little closer to the time, but if you’re trying to decide whether to attend, here’s a partial list of what’s coming up:

- Multifandom vidshows (curated playlists of fanvids that are shown on the big screen) on a variety of themes, including dance vids, the history of femslash, a look back at Vividcon auction vids, highlights from CreaSpace, diversity in vidding, a 2008 fandoms anniversary retrospective, the BBC, Festivids, and VidUKon’s first ever singalong vidshow!

- Saturday night’s big event, the Premieres show, showcasing brand new vids from all kinds of fandoms

- Vidder’s Choice, an opportunity for vidders who are attending or supporting the convention to show off their back-catalogue vids in any genre or style

- Panels and talks, including the annual Year in Vidding discussion, a chance to learn about new academic research in vids and vidding, vids past and future, and more!

- The return of last year’s highly successful group vidding workshop! Join a team to vid a section of a song in a single morning, stitch together the sections from all the teams, admire the glorious Frankenvid!

- Tons of opportunities for socialising and squee, including a quiz, a room party, and the con dinner on Saturday night

All of this takes place on 15-17 June 2018 at VidUKon’s regular home, the Future Inn Hotel, Cardiff Bay. There’s a block of rooms allocated for VidUKon at a special rate, the con space and hotel rooms are wheelchair accessible, and there are lots of food options and a supermarket within walking distance.

Hello everyone!

With the con exactly three months away, now seems like a good time to share a roundup of some important dates and other information.

Attending and Supporting Memberships:

Attending memberships are still on sale. For the low, low price of £39.99, you can attend this year’s fabulous convention in glamorous Cardiff! Get your tickets soon though, as the price rises to £49.99 on April 13. After that, you have a month remaining to buy tickets before bookings end on May 13. (Bear in mind while booking that tickets for the Saturday night dinner are £18.99, and you may wish to pay for this at the same time!)

If you’re attending the convention, bear in mind that programming begins on Friday afternoon - you’re welcome to arrive at any time that works for you, but if you have the chance to arrive earlier there will be some slightly more casual programming from around lunchtime on the Friday.

Supporting memberships are on sale until May 31. A supporting membership of the convention gets you real-time streaming access to the virtual con, a downloadable copy of the Premieres DVD, the opportunity to showcase any one of your backlist vids in the Vidder’s Choice show, and the warm fuzzy feeling of supporting the con! All of this will set you back £15.99.

Room Bookings:

Hotel rooms are available at the con rate until 15 April. You can have up to four people in a room, although once you have more than two people, each additional person adds a small extra amount to the overall price. Scholarship:

The VidUKon scholarship is still open for nominations (very much including self-nominations) of European fans who are Non-UK-resident, have not been to the con in the past, and would like to attend.

All nominations (European, UK and international) will close on Sunday April 1 and the scholarship will be awarded by April 9 to allow the recipient sufficient time to make travel arrangements. If there has been no interest from international fans by the March 19 the scholarship will be made available to UK residents. Premieres and Vidder’s Choice:

The deadline for submitting vids to both Premieres and Vidder’s Choice is the end of May 14, which is a Monday. You will be able to upload your vids for both shows on the VidUKon site from the beginning of May - we’ll let you know when!

All vidders, regardless of attendance/support of the con, are invited to submit premieres. A premiere is a vid that hasn't been shown in any previous convention or event and has not been released online prior the con. It will be shown for the first time ever at the Premieres show on Saturday night at the con.

The Vidder’s Choice show is open to anyone with an attending or supporting membership for this year. We invite you to submit absolutely any vid from your back catalogue, as long as it has been posted online or shown at a con previously.

April 1 - scholarship nominations close

The deadline for Panel submissions has been extended to April 30th. Right now we only have shows, but no panel submissions!

 Room Bookings:

Rooms in the Future Inn Cardiff Bay are available for booking at a special VidUKon rate for the weekend of the con. Here are the current room rates:

Friday 15th - £94.00 single/£104.00 twin or double

Saturday 16th June - £119.00 single/£129.00 twin or double

Sunday 17th June - £74.00 single/£84.00 twin or double

There are currently 10 rooms being held for the con; these rooms are only being held until 15 April. Rates after that may go up sharply, particularly if there's an event on in Cardiff, so don't delay.

If you want to have more than 2 people in a room, make sure to check the rate when you're booking as this will have an effect on the price.

Make sure to mention VidUKon when you book to secure the special con rate. We strongly recommend speaking to the Reservations department to arrange your room, not Reception, as they will be more aware of the con rate. We also recommend making your booking during the week if possible, as you're more likely to reach the necessary staff members - but get in touch if you have any problems.

 The VidUKon auction 2018 is now open for bids. Some wonderful volunteers are offering their vidding services - bid for fandoms including Strange Empire, Farscape, One Day at a Time, Star Trek, American Gods, Doctor Who and The Good Place for the chance to have your dream vid made (and help the con at the same time!)

The auction will remain open until 2000 GMT on January 27, 2018.

Today is the final day of volunteer signups for the VidUKon auction!

If you'd like to offer your vidding services to be bid on, now's the time. You don't need to be an experienced vidder to volunteer to be auctioned! We've had a range of vidders from the relatively inexperienced to the very well-known and accomplished, and every single person has been bid on multiple times. By volunteering to be auctioned, you help the con out immensely, and you get to make a vid that will delight the person who won your auction, and there's a pretty good chance you'll get extra jelly beans at the con too, if you're attending.

We're running the VidUKon auction again! The auction has a been a big success for the last few years, and we're hoping that with the help of some lovely volunteers, it can be again. Thanks to past auctions, we've been able to do things like buy our own projector and speakers - freeing us from the unreliable hotel av equipment - provide more tea and coffee and nicer food, provide a USB copy of the library, give donations to charity and generally add both bells and whistles. That's all thanks to you - the people who volunteered to be auctioned, and the people who bid on those auctions!

What does the auction involve? Basically, lovely people volunteer to make a vid for the person who submits the highest bid for that vidder. That the vid will be about is agreed after the auction, but the people being auctioned usually suggest things they'd like to vid, shows and fandoms they'd be happy to vid for, and so on. Enthusiastic people then bid on the auction, the vids are made, the con gets extra stuff, money goes to charity, and amazing bidders get lovely vids.

You don't need to be an experienced vidder to volunteer to be auctioned! We've had a range of vidders from the relatively inexperienced to the very well-known and accomplished, and every single person has been bid on multiple times. What Do We Want To Do?
Like last year, we’d like to be able to provide more tea and coffee, nicer food, quiz with prizes and so on - we’d also like to have a buffet lunch during the vidding workshop, to allow more time for our terrible, glorious, only slightly monsterous creation. Additionally, one of the con attendees has generously helped out by acting as a kind of con taxi for years, ferrying people around, providing lifts, and going on emergency runs when something catches fire or we find that we're missing something, and though they will continue to do so out of their own pocket if needed, we'd really like to try and contribute to their vehicle hire and running around costs. And, last but not least, we'd like to be able to donate more to charity.

Those aren't a hard limit or list of goals, though - if there are other things you think it'd be good for the con to do/have that could be auction stretch goals, please do let us know - both years the auction has run, we've raised more than expected, which is a measure of how lovely all of our bidders (you) are!

What Are The Timelines?
The site is open for people to volunteer already, sign ups will be open until the evening of the 20th (UK time), and then auction bidding will start on the 21st.

How Do I Sign Up?

Go to http://www.vidukon.co.uk and log in, and you should see an auction signup option in the panel on the left. If you are signing up, thank you - you're wonderful. Please don't be scared to sign up - some signups have been people who've never been auctioned off before, and hopefully they'll be willing to tell you that it isn't terrifying :)

Is There A Submission Deadline?

Auction vids can be shown at the con (and we love it when they are) but they aren't a guaranteed part of a show - we tend to show them during/after Premieres, but we don't demand that vids be shown. This tends to mean that for those vids that are shown, the deadline for submissions is a bit later than others - particularly if the vid doesn't need to be listed in the conbook or form a part of the Premieres DVD. The aim is for it to be a nice thing for those involved, and being shown at the con is a completely and totally optional thing - so there's no stress if the vid doesn't make it into a show. We want it to be a fun experience for all involved.

So, please, consider signing up to be auctioned off. Think about how happy you'll be making the person who wins your auction, and how much you'll be doing for the con! Plus, remember that we love you for signing up or joining in, and are willing to bribe people with jelly beans.

We're now open for programming ideas! The good, the crazy, the weird, the wonderful...

As ever, we're particularly in need of panel ideas, also panel/vidshow combos are great, and if you'd like to try a workshop or different format, make a suggestion, brainstorm and make it happen! Priority will be given to attending members, but supporting members can put together vidshows for us as well.

Veteran VJs are welcome and so are first-timers - if you'd like to put a vidshow together but don't know where to start, get in touch and we'll be happy to help. Want to brainstorm? Get feedback on your ideas or suggest them for someone else to pick up in the comments here or on LJ.

Registration for Vidukon 2018 is now open!

The convention will take place on the 15th, 16th and 17th of June 2018, at the Future Inn Hotel, Cardiff Bay.


If you book in the early registration period, between now and December 28, you can take advantage of our festive discount. Greetings everyone!


Preparations for Vidukon 2018 are in full swing. 2018’s convention will take place on the 15th, 16th and 17th of June, at the Future Inn Hotel, Cardiff Bay.


As usual, there’ll be a festive discount available for those who want to get their attending registrations nice and early. Early registration is open from December 22 until December 28. Using the discount code FESTIVE17, you’ll be able to get a 5% discount on the £39.99 attending membership between these dates.


If you’re interested in making a vidshow, running a panel, or organising other content we haven’t yet thought of, now is the time to get thinking about it! Vidshow and panel submissions are now open. Vidshow and panel submissions will remain open until the end of March 5. Look out for more detailed information and an ideas post soon.


Scholarship applications/nominations are also now open for European applicants outside the UK. The VidUKon Scholarship is funded by donations and intended to offer support to one fan who is Non-UK-resident, has not been to the con in the past and would like to attend. For more information, or to nominate yourself or somebody else (self-nominations are encouraged!), take a look here:

All nominations (European, UK & international) will close on Sunday April 1 and the scholarship will be awarded by April 9 to allow the recipient sufficient time to make travel arrangements. If there has been no interest from international fans by the March 19 the scholarship will be made available to UK residents.

At VidUKon 2017, attendees were put into groups and were provided with a range of source material and sections of a song. This is the vid we created. Affectionately known as the Frankenvid, it was screened as the finale of VUK2017.
