Guide for submitting a vid to VidUKon

This post should contain the information you need to submit a vid to VidUKon. Please comment here or email concom if you have questions or run into issues.
1. Who submits vids? Registered attendees can submit one vid to each of Vidder's Choice, Premieres, and the Antagonism themed vidshow. If you have a vid premiering in one of the other vidshows, the VJ will submit the vid on your behalf. If you are a VJ for a curated vidshow (in other words, not one of the three vidshows listed above), then it's your responsibility to add all the vids to your vidshow. The workflow for VJs is similar to what's described below, but there are some differences which are explained at the end of this post.
2. There will be a field to enter warnings for your vid. Please warn for the following: Animal Harm; Auditory Triggers; Blackface/Brownface/Redface; Blood/Gore [significant amounts]; Depictions of Colonialism/Imperialism; Depictions of Police; Holocaust and/or Nazi Imagery; Fast cuts (more frequent than about 8 frames); Flashing/Flickering lights; Incest; Queerphobia; Racism; Physical Triggers [in addition to fast cuts or flashing lights], Self-harm; Sexual violence; Suicide; Transphobia. Please warn for depictions of things even if the vid is critical of them, e.g. a vid that is critical of racism and includes depictions of racist violence should warn for racism.
3. We encourage you to submit subtitles if you can and to have them included in your streaming video. The best way submit subtitles to us is to submit a separate .srt file, described below.
3. How to submit your vid!
4. For VJs: You will fill in the same metadata information about each vid, and you will need to use the mega upload to submit a hard copy of each vid just like an individual vidder would. However, rather than accessing the form via "Submit videos", there will be another tab on "Registration" called "Shows". Click on this, then click on your vidshow to add vids following a similar workflow to what is described above. Please contact us if you can't see the "Shows" tab, as we have to do a manual change in Conline for VJs to see that and we might have missed you or made the change before you registered.

3. How to submit your vid!
- First, add the video to Conline as follows:
- Log into vidukon.conline.club and go to your dashboard.
- Click on Registration.
- Click on the "Submit Videos" tab.
- For the vidshow you want to submit to, click on "Add video".
- If your vid is already in Conline's database (IVDb) then you can find it by entering the title in the first field. If it isn't (which is likely) then you will need to add it to the database. This will also potentially involve adding the source and song to the database if they've never been used before. This can be a bit of a process if you're not used to it, and if you get stuck please contact concom. Once you've added the vid to the database, you can return to the "Add video" form.
- Fill in the description and warnings.
- Under "Priority", enter 1 for both "Priority" and "Conditionals".
- Enter a youtube or vimeo streaming link, do not enter a link to an alternative streaming server. Please contact us if you cannot provide an unpassworded vimeo or youtube streaming link.
- Upload your .srt file if you have it. This can be a bit fiddly but you have problems you can instead upload your subtitles file using the upload link described below.
- Enter the duration.
- Click save.
- Now the metadata and streaming link are available in conline, but we still need a hard copy of the vid for the in-person con, and to have available in case there are issues with the streaming link. Here is the link to upload your vid. There are no restrictions on format, frame rate, aspect ratio etc, but please try to keep the file size below about 250 MB if possible. Please include in the file name the (1) vidder name, (2) vid title, (3) vidshow you're uploading for, (4) date of upload. You can also upload a subtitle file; if you do please give it the same name as the vid except the suffix.
