There's a lot going on over the next couple of weeks, so i thought it would be a good time to push out a general update.
First things first...
Currently, there are still 3 rooms available for the Friday night, 2 for the Saturday night, and 6 for the Sunday night. The hold on these rooms ends on the 16th of April, after which the hotel prices tend to go up pretty steadily the closer you get to the con. Don't forget, we have a roomies thread on dreamwidth and on LJ, both of which include the reminder that it's best to talk to the Reservations desk about booking - make sure you mention it's for VidUKon. I booked my room earlier today, and the staff were very friendly - don't be afraid to ring.
Don't forget - the cost of an attending membership goes up on the 15th of April. If you're hesitating about coming, this is close enough to the day the rooms get released back for general purchase by Muggles, so it may be worth grabbing your membership and your room booking at the same time...
You can buy your registration by going to the con site; it should be listed in the panel on the left, although you'll need to create an account to buy a membership.
The scholarship is still available - the deadline for nominations is the 1st of April. More detail is available in the threads on the scholarship, but we're keen to see as many nominations as you're willing to make - this is our chance to bring someone to the con who wouldn't otherwise get the chance to attend. The post contains all the detail on priorities, donations and the like. Please give it a read!
There are times at the con generally used for chilling out, and our programming on the Friday begins with informal vidwatching and entertainment. One of the suggestions made was that it might be fun to play some boardgames and cardgames as a way of helping people get to know each other. Is this something you're interested in? If you are, drop me a comment on LJ/DW or ping the con twitter account (@vidukon) to let me know - or to make suggestions.
Do you live in a land far, far away? Would you like to attend the con but lack the necessary funds to make it happen? There might be help available!
Even though the con is held in the UK we like to think of it as an European event. We’ve had attendees from France, the Netherlands, Germany, Norway, Sweden and Russia in the past, but through the scholarship, we hope to enable more people from abroad to attend in future. The VidUKon Scholarship is funded by donations and intended to offer support to one fan that is a Non-UK resident, has not been to the con in the past and would like to attend.
The scholarship includes:
- Attending membership for the con
- Accommodation for 2 nights (Friday & Saturday) on the basis of 2 sharing a room at the con hotel (if you are unable to find anybody to share those funds will be made available to you to book alternative accommodation)
- Saturday dinner ticket
If there is more than one applicant eligible for the scholarship preference will be given first to those who have contributed to the con in the past (made Premiere vids, hosted vid shows or run panels) and then to those living the farthest away (since their travel costs are bound to be higher). We are happy to provide help with getting a UK visa if required - please contact Amnisias for details.
Applicants from the UK and outside Europe will be considered if there are no European applicants. Our definition of Europe is loose and includes all of Russia and Turkey as well as Israel (yes, we do take our lead from the Eurovision Song Contest, why do you ask?). The concom reserves the right to make the final decision if there is more than one applicant meeting all the criteria.
Self-nominations are strongly encouraged; or you might want to nominate somebody else you know who meets the criteria and would like to attend. Either way, the way to go is to complete the form down below, if you have any further questions please feel free to contact firstname.lastname@example.org who'll be happy to help. All nominations (European, UK & international) will close on Saturday the 1st of April 2017 and the scholarship will be awarded by the 9th of April 2017 to allow the recipient sufficient time to make travel arrangements. If there has been no interest from international fans by the 1st of April 2017 the scholarship will be availlable to UK residents.
The scholarship fund is kept separate from con expenses and will not be used to cover them under any circumstances. Any extra funds will either be used towards travel expenses for this year's recipient or saved for the following year's scholarship fund. In the event that the con stops running any remaining funds will be donated to an international charity organisation.
Roomies For VidUKon
These posts have two purposes; firstly, to help people arrange their rooms for VidUKon, and secondly, to help them find roommates to share with if they're so inclined. The posts are on both Livejournal and DreamWidth, so please make sure to post on both if you're looking for a roomie.
Booking Your Room
Here are the current room rates:
Friday - £94.00 B&B single and £104.00 B&B double or twin
Saturday - £119.00 B&B single or £129.00 B&B double or twin
If you want to have more than 2 people in a room, make sure to check the rate when you're booking.
There are currently 10 rooms being held for the con; these rooms are only being held until 16 April. If you book later than that, you're fighting to get a booking at the regular room rates, whatever they are. Rates tend to go up sharply, particularly if there's an event on in Cardiff, so don't delay.
Sometimes the staff can get confused about what rate to book you at. We strongly recommend speaking to the Reservations department to arrange your room, not Reception. The reservations people are much more clued up, and should know what you're talking about if you say that you want to book one of the rooms reserved for VidUKon.
Finding a Roomie
In theory, finding a roomie should be simple - ask for one in a comment here, another kind soul spots your post and shouts "Yay!" and you work things out. However, to help with that, the con twitter will keep reminding people that someone's looking for a roomie, if there's a comment here saying that someone is looking. Hopefully, everything will be ... simples.
VidUKon 2017 Auction Is Live!
The VidUKon 2017 auction is up and running, and the bids are already fast and frantic. Five lovely, wonderful people have volunteered to make one vid each for us, to help raise money for things like some speakers, so that we can avoid having to rely on the hotel's sound system, which is sounding about as old, creaky and cranky as I do.
The auction is running until 8pm GMT on the 29th of January, so there's roughly three days of bidding to go. We can't thank the lovely auction volunteers enough, but hopefully they know just how much we appreciate what they're doing! Frith: known for making rich, layered vids, Frith really brings home a strong narrative and excellent characterisation through exquisite and effective clip choice. A natural storyteller, her vids are complex, thoughtful works that you'll be pondering for a long time afterwards. If you're lucky enough to win her auction, not only will you love your vid, but you'll be amazed at her knack for using lyrics to draw out elements of the story she's telling...
isagel: powerful emotions are always a huge part of isagel's vids; often celebrating tiny fandoms and encompassing a range of relationships and sexuality, her work can be brutal even as it exalts those characters she vids. Perhaps the vidder in the auction most likely to be able to vid the tiny show you love that no-one else has ever heard of, isagel's work encompasses not just movies and tv but also computer games, from the gorgeously painted to the remarkably abstract, and every vid is a joy to watch... even as the characters tear your heart out...
jagwriter78: if it were possible to summarise jagwriter in a single word, that word would be "passion". There's no other way to describe someone who can love a show so much that they make dozens upon dozens of vids for a show they love, and each one is better than the one before. With an amazing eye for pacing and a fierce love of her shows, jagwriter is an amazing vidder with an eye for the dramatic, the evocative, and the hilarious. Ever wanted to see Richard Castle as Elvis? Jagwriter's your vidder. Jagwriter's vids display her fierce love for the things she vids, and it's glorious to behold!
cosmic_llin: have you ever seen one of the VidUKon shows, watched a Star Trek vid, and been overwhelmed with feelings? There's a 90% chance that was llin reaching out through your monitor to leave you feeling wonderful. As adept with comedy as she is with drama, llin channels emotion like no-one else, and she could do that for you - if you're lucky enough to win her in the auction! Note: VidUKon cannot be held responsible if you end up crying tears of joy. You have been warned.
LithiumDoll: the dark queen of VidUKon, the great and terrible one who rules us all, and all who know her shall love her and despair, for she is glorious... and in our auction! Combining exquisite timing and editing with a tremendous sense of character, movement and physicality, her vids are gripping, entertaining and unafraid to take a walk on the dark side.
We're running the VidUKon auction again! The auction has a been a big success for the previous two years, and we're hoping that with the help of some lovely volunteers, it can be again. Thanks to past auctions, we've been able to do things like buy our own projector - freeing us from the unreliable hotel projector - provide more tea and coffee, provide nicer food, provide a USB copy of the library, confirm the hotel for the next two cons rather than just one, and give donations to charity. That's all thanks to you - the people who volunteered to be auctioned, and the people who bid on those auctions!
What does the auction involve? Basically, lovely people volunteer to make a vid for the person who submits the highest bid for that person. That the vid will be about is agreed after the auction, but the people being auctioned usually suggest things they'd like to vid, shows and fandoms they'd be happy to vid for, and so on. Enthusiastic people then bid on the auction, the vids are made, the con gets extra stuff, money goes to charity, and amazing bidders get lovely vids.
You don't need to be an amazing or experienced vidder to volunteer to be auctioned! We've had a range of vidders from the relatively inexperienced to the very well-known and accomplished, and every single person has been bid on multiple times. By volunteering to be auctioned, you help the con out immensely, and you get to make a vid that will delight the person who won your auction, and there's a pretty good chance you'll get extra jelly beans at the con too,if you're attending.
What Do We Want To Do?
There are several things we'd like to do this year, which the auction can help with. We'd like to get our own speakers for the con; as you may have heard, the hotel sound system is... erratic. Whilst there's one person who has fun trying to work out what's causing the high-pitched whine each year, we moved across to using speakers borrowed from one of the ConCom, but we'd like to get the con its own speakers - hopefully with things like longer cables, so that we can give everyone a better audio experience to go with the great vid experience.
We'd also like to be able to provide more tea and coffee again, and nicer food. Last year, we had a quiz with prizes, the prizes being donated privately by one of the ConCom; we'd like to be able to add prizes from the con as a whole, too. One of the con attendees has generously helped out by acting as a kind of con taxi for years, ferrying people around, providing lifts, and going on emergency runs when something catches fire or we find that we're missing something. They've always done that out of pocket each year, but this year we'd really like to try and contribute to their vehicle hire and running around costs. And, last but not least, we'd like to be able to donate more to charity.
Those aren't a hard limit or list of goals, though - if there are other things you think it'd be good for the con to do/have that could be auction stretch goals, please do let us know - both years the auction has run, we've raised more than expected, which is a measure of how lovely all of our bidders (you) are!
What Are The Timelines?
The site is open for people to signup as an auction victim... I mean, volunteer ... right now. It'll be open until the evening of the 22nd (UK time), and then auction bidding will start. Auction vids can be shown at the con (and we love it when they are) but they aren't a guaranteed part of a show - we tend to show them during/after Premieres, but we don't demand that vids be shown. This tends to mean that for those vids that are shown, the deadline for submissions is a bit later than others - particularly if the vid doesn't need to be listed in the conbook or form a part of the Premieres DVD. The aim is for it to be a nice thing for those involved, and being shown at the con is a completely and totally optional thing - so there's no stress if the vid doesn't make it into a show. We want it to be a fun experience for all involved.
So, please, consider signing up to be auctioned off. Think about how happy you'll be making the person who wins your auction, and how much you'll be doing for the con! Plus, remember that we love you for signing up or joining in, and are willing to bribe people with jelly beans.
Signup is through the con website - go to http://www.vidukon.co.uk and log in, and you should see an auction signup option in the panel on the left. If you are signing up, thank you - you're wonderful. Please don't be scared to sign up - some signups have been people who've never been auctioned off before, and hopefully they'll be willing to tell you that it isn't terrifying :)
As ever, we're particularly in need of panel ideas, also panel/vidshow combos are great, and if you'd like to try a workshop or different format, make a suggestion, brainstorm and make it happen! Priority will be given to attending members, but supporting members can put together vidshows for us as well.

In an effort to bring a little more good cheer to 2016, registrations for VidUKon 2017 have opened. We're in Cardiff again, and barring unforeseen disasters, we'll also be in Cardiff again next year, for anyone looking to plan ahead. Don't worry about foreseen disasters - in the event of the end of the world being accurately predicted, the con will still happen, but we'll include popcorn, zombie repellent and a small survival pack in the attendees pack...
Signup for attending and supporting memberships is through the site as per usual, and if you sign up before midnight GMT on New Years Eve, you can use the promo code FESTIVE16 to get 5% off the cost of your ticket.
There is a change between 2017 and 2016; we've had increasing numbers of Premieres DVDs go uncollected at the con, and during the feedback session at VidUKon 2016, the general feeling was that a downloadable copy would be of more use to people than physical media, and that for those who like having a physical media disc, having the show in a data format rather than formatted as an mpeg-2 format playable disc would be preferred. So, this year, the memberships will include a downloadable copy of the show by default, instead of a physical disc. You can still opt to get physical media of one kind or another - either a playable DVD, a playable USB stick, or a data DVD/data USB stick - but for a £3 surcharge. I hope that doesn't make the signup options more confusing - please do ask if you have any questions.
VirtUKon will return in 2017, and there's a good chance the evil quiz will too; it's too early to say if there'll be scones yet, but we always hold out hope!

The VidUKon 2016 "Vidder's Choice" vidshow is open for submissions. Many of you will already probably have taken part in this show in the past, but just in case you aren't familiar with it, this is what Vidder's Choice is all about...
Vidder's Choice is a show that anyone either attending VidUKon or who has purchased a supporting membership can participate in. Vidder's Choice has become a regular Friday night feature, almost like an introduction from everyone involved in making the con successful. If you've purchased an attending or supporting membership, you can submit any one vid you've made into Vidder's Choice, and it'll get shown during the show. It can be pretty much any vid you've ever made - not only are obscure shows and films and fandoms eligble, they're actively encouraged. Old vids, new vids, odd vids, funny vids, sad vids, angsty vids, action vids, horror vids... no matter what it is, this is your chance to have it shown at the con, and if you're attending to get to enjoy seeing everyone else watch it - and, if you're really lucky, you get to watch the VJ's head explode from outside the splatter radius as they wrangle all of the vids into something resembling a playlist.
Other than the requirement that you be an attending or supporting member of the convention, there are just two restrictions you need to be aware of:
1. The vid must not be a premiering vid. We've got a show already for premiering vids; it's called Premieres, it's a Saturday night highlight, and we'd always love to have more vids to show in it, so if you have a premiering vid, please send it that way.
2. The vid has to be submitted by midnight GMT on 15 May 2016. Any later than that, and the ftp server is closed for uploads, so the opportunity is lost.
Uploading your vid is easy. Honest. Even I've managed to do it consistently for several years, and I've been known to try and insert my tie into a card reader by mistake. All you need to do is log into your account on the con website, and from the homepage, click on "Upload" in the menu on the lefthand side. Then, at the next screen, select the "Vidder's Choice or Premieres" option, hit "Next", and follow the onscreen instructions.
Anyone who has a supporting or attending membership in place by the upload deadline can submit a vid for Vidder's Choice, so if you're still thinking about attending or supporting, why not jump in? I'd love to see what you submit for the show...
If you're attending the con, today is your last day to book a room at con prices (and there's not that many blocks left!)

Friends, vidders, fanpeople. Every year, we hear that the people demand more panels in their VidUKon experience! And every year, few are willing to answer the call. We understand! It sounds a bit scary! But there's still time to submit panels and we would super love to have some more on our docket for this year. Remember, panels do not have to involve the panelist giving an expert technical presentation for 45 minutes, far from it!
Panels can include:
- a discussion of the vidshow we just watched, or putting together a smaller collection of vids for discussion
- roundtable or group discussions - by no means do you have to do all or even most of the talking
- activities - do you have an idea for vidder pictionary or a quiz or a game of Sardines?
The concom are very happy to help you realise your idea, from advance prep to sitting on the panel with you if you'd like. Drop a comment or email such.heights at gmail dot com. Submit your panels here. The deadline is tomorrow, Friday 11 at 11.59 GMT, but you just need the starting idea by then. Be the hero VidUKon needs!
Once again, VidUKon will be offering a scholarship! Even though the con is held in the UK, we like to think of it as a European event. This includes an Attending membership, Saturday Night Dinner Ticket and accommodation on the basis of sharing a room with one other person. Preference will be given to European residents. You can also donate to the scholarship fund through the scholarship page, if you'd like to; you don't have to donate to the fund to nominate someone, and you don't have to nominate someone to donate. The scholarship funds are kept seperate from the convention funds, and will never be used to fund the con itself; if no-one accepts the scholarship, then the money will be rolled forward to fund a scholarship for next year. In the event that there is no next con, the scholarship fund will be donated to an international charity.

Which is not actually news to anyone, but if I didn't start to use my words, this summary would basically be a series of smilies and stars. I'm not entirely sure how we got cosmic_llin? BUT WE GOT cosmic_llin AAHHAHAH NO TAKE BACKSIES :D As adept with comedy as drama, and with a pretty much magical sense of timing and pacing and seriously how does she even doooo thaaaat? I kind of want to say this is the best day ever for Trek fans? But honestly, this is the best day ever for vid fans.
I'm actually pretty sure we got meivocis through rituals and chanting, but you can get her through bidding! IT'S SECOND CHRISTMAS, PEOPLE. meivocis has an incredible sense of musicality and character, and her vids are mesmerising enough they may classify as a class C drug. Get her while she's still legal?
There are vidders who vid what they love, and then there are vidders who love what they vid so much they make a hundred vids for it. And that's just the start! One of the most prolific and imaginitve vidders out there, the delightful jagwriter78, volunteered to be auctioned by us! All of her vids tend to burst with wonder, and often with humour, and she's ours - all ours! *insert evil laugh*
And then we have got the ever-glorious Lithium Doll vidding for us! How she finds the time alongside making everything about the con work, we just don't know. But she does! She will make you a bee-ooo-tiful vid full of expertly-cut layers of meaning and insight that will you make you cry and be happy about it, which is the source of her power.

1. Submit your programme ideas now! We are now open to your ideas for programming for this year's Vidukon. We're always particularly in need of panel ideas, and remember you can do a vidshow and panel combo if you'd like. Priority will be given to attending members, but supporting members can put together vidshows for us as well.

2. We’re holding the second VidUKon auction o/ Our goals this year are going to look eerily familiar to anyone who saw them last year (badges! more usb sticks! life-giving tea!), with the addition of something a teensy bit more ambitious: a projector to call our very own. The hotel’s AV system does a fair job considering half its circuitry was chiselled on rock using stone age implements, but for vid show enjoyment in general and the sanity of the concom in particular, we’d really love not to have to rely on it. Should we manage to exceed our target, the charity we’ve chosen to donate 50% of any additional funds to is Médecins Sans Frontières.
If you’d like to offer a vid (thank you! thank you! thank you!) you can sign up here (closing 10PM 23rd January). Bidding will open midday 25th January and run through until 8PM February 7th.
3. Extra Time We took a gamble a few years ago, and started running programming on the Friday night of the con weekend, as an opportunity for everyone to socialise and make introductions. That's gone really well, and has proven pretty popular over the years, so we've decided to try something new. The bulk of our attendees tend to arrive on the Friday, and those who arrive early tend to spend a lot of time vidder-spotting in the hotel foyer or bar. We've decided to pay a bit extra, and book the con rooms from the lunchtime on Friday.
There probably won't be any programming until the usual time, but this'll give the techbunnies more time to hyperventilate and ask the important questions in life, like "But why is it doing that?" and hopefully give those who want to arrive earlier in the day somewhere to hang out, relax, and get to know everyone as they arrive. We hope this'll be useful on several levels - from the option of maybe getting earlier trains and saving on travel, to more chance to hang out and chat before the vidshows start, right through to hearing more exciting stores about the weird and wonderful things that those who arrive even earlier for the con have been up to.
Even More Extra Time If you're thinking of coming down even earlier than Friday lunchtime, there will still be people around; last year, beccatoria, BrokenMnemonic, doccy, LithiumDoll and Isagel spent some time off looking at dinosaurs, watching Mad Max: Fury Road, eating huge slabs of cheesecake, watching Mad Max: Fury Road again, spending loads of time talking about Mad Max, watching all those vids that never quite fit in any of the shows, converting other people to the joys of Mass Effect and Banshee... There also tends to be people around on the Sunday afternoon and even the Monday, if you want to chill out after the con, and while the concom may be partially comatose, there are always giant slabs of cheesecake around somewhere.

This is the last week to register for VidUKon 2015!
Our convention runs from the 12th to the 14th June 2015 in Cardiff Bay. We are small, relaxed and welcoming, and we'd really love it you came to kick back and watch some vids with us! Our programming schedule is available on our website, and we are thrilled with the level of response our call for premieres received!
If you can't be there in person, a Supporting Membership will get you a programme, a DVD and access to VirtUKon where our shows will go live in real time throughout the weekend. You'd also have our endless gratitude for helping support the convention!
Registration closes at midnight on May 15th 2015.

We come to you with unfortunate news! As you may have noticed if you have visited our upload page in the last few days, we have been suffering technical difficulties. They are now resolved! But we may need you to reupload your Vidder's Choice and Premieres vids.
An issue with our webhost meant that vids uploaded to those shows were not being saved correctly. As it was not a problem directly with the site, it was not something we could fix immediately, and we cannot say with certainty when it broke. Thanks to LithiumDoll's hard work, it's all up and running again now! But also, if you have already uploaded your Vidder's Choice or Premiere vid, we're gonna need to ask you to do so again, to be on the safe side. We're really sorry for this inconvenience.
If you uploaded via the browser upload option, we will need you to go through this process again in its entirety at our Upload Page. Please note that this option is not reliable if your file is over 100 megs. In that case, you will need to use the FTP.
If you uploaded via FTP, then you will need to visit the Upload Page and fill in the vid information, but you will not need to upload your vid again, as our FTP has been working reliably. You can simply certify that the vid is uploaded and carry on to the next step.
The issues we have been experiencing with regard to saving vid information affected only our public shows (Vidder's Choice and Premieres). VJs working on other programming have not been affected and any work you have saved under "My Shows" has not been lost.
If you have successfully uploaded and saved your vid (via FTP or browser upload), the site will provide you with a link to a page where you can edit that information up until the submission deadline. If you do not get this link, your vid has not uploaded correctly. If in doubt, please contact us and we can check for you, but you may consider the link reliable confirmation that your vid has been logged on our site.
If you do find yourself experiencing errors with the browser upload, please try using the FTP. We are confident the browser upload is now working as intended, but it is not as quick or robust as the FTP option.
Once again, we apologise for the inconvenience caused and thank you for your understanding. If you have any questions, ask away and we will do our best to answer them swiftly.
WE HAVE A SCHEDULE
We are pleased to announce a full slate of shows and panels! It ranges from genre-based to technical, from pure squee to difficult and challenging, and, of course, sees the return of many of our regular slots like the Year in Vidding panel, Festivids and Eurovision.
Premieres and Vidder's Choice are both accepting submissions! If you are an attending or supporting member, please consider submitting one of your vids (any vid!) to Vidder's Choice. It's always our opening show and a great way to start the weekend.
The deadline for submitting a vid to either Vidder's Choice or Premieres is May 1.
LAST CHANCE FOR CHEAP PRICES
I'd also like to take a moment to remind you that our prices are about to rise.
It is currently £40 for an attending membership. This will rise to £52 on April 18. Registration will close on May 14.
Supporting memberships will remain at £16 until the close of registration.
Our scholarship is still open for submissions. This was extended by a fortnight and nominations will now close on April 15. If you have never attended VidUKon and are not a UK resident, or if you know someone who falls into that category, please consider an application!
We're now just two months away from the convention, and are looking forward to seeing you there, virtually or in person!

You know what's awesome? Vids made just for you! You know what's even more awesome? Fundraising for tiny, but almost disturbingly enthusiastic conventions, and also donating to incredibly worthy charities! In a peanut butter and chocolate kind of way*, we bring you the VidUKon auction o/
The charity we're supporting this year is RAINN and they'll receive 75% of any funds made after our target of £100 is reached.
Our wishlist is fairly modest - we're after some double-sided badges so we don't have to keep asking each other what our names are (basically, the worst thing you can do to a British person that doesn't involve queue jumping or soggy biscuits falling into tea), some flash drives so we can make our growing library even easier to check out, and finally some snacks we can feed anyone who looks like they may be coming down from our mandated 3-day sugar high.
Bidding is currently open for four fantabulous vidders who we seriously cannot thank enough - thank you again, fantabulous vidders! We're pretty sure none of them need an introduction. In fact, there's a pretty good chance they should be introducing us, but we'll try anyway!
Buffy has an eclectic collection of vids, from sweet, feel-good and quirky to dark and moody, and everything in between. They only thing they have in common is how ridiculously engaging and well put together they are and, seriously, it's Buffyann, people.
